Lexacom’s top 5 tips on managing transcriptions through the festive period.

It’s that time of year again, and one thing we do know from working within the industry for so many years, is that you can never be too prepared for how busy you might become over what will inevitably be your busiest time of year.

With annual leave to spend time with loved ones and enjoy the upcoming festivities, unexpected absences through unwell team members and the increase in patients due to flu season, there’s no time like the present to manage your workflow processes and put a contingency plan in place, especially when it comes to your transcriptions.

Here are our 5 top tips on managing transcriptions through the winter months:
1. Plan for holidays and absence

Ask staff to submit requests for leave during festive periods plenty of time in advance if possible. This will give you a clear idea of the amount of support you may need and give you time to get the right document creation support

2. Trial you preferred solution

Make sure the solution does what it says it will do – support your organisation, not create more work. Take advantage of the 30 minute free trial of Scribe that we can offer!

3. Plan contingency

Many organisations we have worked with have incredible customer service and patient care feedback, they don’t simply plan for winter pressures, they plan for the year, or the next five.

4. Use the data

Lexacom 3 has extensive reports which report how much each user, department or site is dictating and transcribing. You can track performance, identify backlogs and understand the trends of your organisation. Feel free to contact me for more assistance should you need help on how to approach this.

5. Manage your workflow

Having small administrative pockets discourages work-sharing and can hinder productivity. Try to keep your workflow open where you can to allow flexible working – Scribe can assist in giving you ad-hoc document creation support. In addition, if your existing workflow is light and you try to replace it with one which has many steps – you’re not only frustrating your users but increasing the dependency and therefore turnaround at each stage.

We hope you find this useful, and enjoy a fun-filled and stress-free winter!
